If a staff key has gone missing, the right response depends on which door it opens, who had it, and whether the lock setup still makes sense for the building.
A missing office key is not always a full-blown emergency, but it should never be ignored. Whether you manage a small studio in Guildford, a unit in Woking, or a letting office covering Weybridge and Bracknell, the right response depends on what that key opens and how exposed the building now is.
Start with three quick questions
- What does the key open? A rear fire exit, shutter, front entrance and filing room all carry different levels of risk.
- Was it clearly lost, or taken? Misplaced on a keyring is different from a leaver who never returned it.
- Can that key be copied easily? Standard keys are a bigger risk than restricted systems where duplication is controlled.
When rekeying is enough
If the hardware itself is in good condition, rekeying or changing the cylinder is often the cleanest fix. You retire the missing key, issue fresh keys to the team, and avoid replacing the entire lockset. This works well for many office doors, aluminium shopfronts, euro cylinders and some mortice setups.
When a full replacement makes more sense
If the lock is already tired, the key system is messy, or too many former staff still have copies, it is usually better to reset the whole setup. That may mean fitting new cylinders keyed alike, upgrading the main entry to a higher-security cylinder, or replacing old hardware that has become awkward to manage.
Worth upgrading while you are dealing with it
For small commercial sites, a few upgrades go a long way: restricted key systems that cannot be casually copied, anti-snap cylinders on external doors, coded access on staff-only entrances, and clearer separation between public and private areas. If you regularly issue and collect keys, a digital lock on one internal door can remove a lot of admin.
How urgent is it?
If the missing key opens the main entrance, an alarmed side door, medicine storage, plant, cash or sensitive records, treat it as urgent and sort it the same day. If it is a low-risk internal room and you are confident the key was simply misplaced on-site, you may be able to plan it for the next working day.
